Summary:
Under general supervision from a Group Leader, the position is responsible for performing a full range of office management and administrative functions supporting the business needs for the Energy & Environmental Systems Science Group, Environmental Sciences Division (ESD).
Responsibilities & Qualifications:
Functions include managing information flow and communications within the Group, preparing a variety of written materials and numeric reports including PowerPoint presentations, establishing and managing records systems, assuring compliance with office procedures and guidelines, and related activities. Position requires scheduling and maintaining calendar of appointments, meetings, and conferences, arranging travel for staff and guests (both domestic and foreign, including foreign and domestic trip reports); providing consistent phone coverage; and maintaining a professional office atmosphere. Sensitive and personally identifiable information must be handled according to established procedures. Candidate must track, coordinate, and follow actions/responses to assure completion. Maintains and coordinates updates on the group’s website, and coordinates accuracy of posting information in a timely manner and in coordination with the Environmental Sciences Division website.
On own initiative, makes administrative decisions and judgments with the realm of responsibility and authority, using tact and discretion. Takes action, as authorized during supervisor’s absence, to ensure requests for action/information are relayed to appropriate sources in a timely manner. Develops and maintains systems and databases to track group office actions, deliverables, and division commitments. Helps schedule and attend group staff meetings, creates and distributes agenda, prepares minutes, and arranges for hospitality through the appropriate channels. Maintains and controls business sensitive, and/ or confidential files.
Assists other group office administrative support staff with office procedures and preparation and handling of correspondence, plus other Division support duties as assigned. Is able to interface and coordinate with Reports and Data staff assisting with budget information and Field Work Proposals as necessary. Proofreads all outgoing material (format, grammar, punctuation. spelling, etc.) to ensure that reports and correspondence are correct, conform to UT-Battelle standards, and have authorized signatures. Establishes and maintains effective working relations with internal and external contacts (such as DOE contractors, subcontractors, universities, as well as with DOE Field Offices, and DOE HQ Program Directors. Maintains office atmosphere in a professional and congenial manner and receives and assists visitors.
REQUIREMENTS:
The position requires proficiency in a wide range of ORNL business systems, processes, and policies, including PALS, PAS, eWFO, Regular and Foreign Travel, PTS, Smart Services, Avid Plus, PMTS, SAP, CIC, and Conference Planning. The position also requires proficiency in the following software systems: Adobe Acrobat; Microsoft Word, Excel, Outlook, PowerPoint, and Access; and EndNote. Experience in website maintenance is required. Candidate must have excellent human relations and communications skills (verbal and written).
REMARKS:
This position is a critical part of a very active, research-oriented group, with heavy administrative responsibilities. Position requires the ability to maintain confidentiality of business information, as well as initiative in providing assistance to research staff, visitors, sponsors, and external contacts. Successful candidate must demonstrate past success in these areas. Successful candidate will also have the following experience, attributes, and abilities:

Maintain consistent work schedule during core hours to meet needs of staff

Exhibit concern for people and experience dealing with various personalities, backgrounds, and ethnicities in a multi-level, multi-disciplinary, scientific environment
