The role is a customer orientated position for both internal and external customers for all aspects of the catering and conference services field. Co-ordinates all aspects from initial inquiry through to booking, planning, obtaining pertinent information relative to events inquired by or booked by customer and communicates all catering and conference related information to hotel colleagues in an accurate and timely manner. This is to ensure the customer receives excellent product, service and value.
JOB FUNCTIONS:
Support company's philosophy and company culture through the use of Pillars of Legendary Quality Experiences on a daily basis to ensure Guest Satisfaction and the achievement of our Mission Statement
Answers initial inquiry with a written response within 24 hours
Trace inquiry forms with a follow up call after one week
Conducts site inspection of the facility
Generates proposals
Generates contract
Receives signed contract and deposit payment. Passing on payment and confirmation to Account department.
Generates Banquet Event Orders
Generates business correspondence
Generates function room diagrams
Utilize Delphi system for accurate blocking of events, groups, traces, and generation of BEOS
Obtain guarantees for food and beverage functions
Check Delphi Daily and Weekly reports
Obtain necessary approvals/permits/insurance certificates for functions not held in Conference Center
Organize and attend tastings passing on relevant information to the culinary team.
Attend BEO meeting, when discussing assigned events.
Communicate all event information/changes to existing information to appropriate hotel colleagues in an accurate and timely manner
Entertain clients, as appropriate
Maintain an active trace system for all events
Visit all primary and secondary competition
Remain available to hotel colleagues via radio while on property on day of event.
Audit banquet checks for events
Contract business with approved vendors, as appropriate
Approve payment and provide backup for contracted vendor business
Coordinate all aspects of catering
Refer business to approved suppliers of service/products, as necessary
Perform additional duties as assigned by Director of department
valid Visa is required
Job Requirements
Reading, writing and oral proficiency
Must be willing to work a flexible schedule in order to accomplish all major responsibilities and tasks.
Must be a self-motivator and motivator of others.
Must work in a safe, prudent and organized manner.
Must have mathematical skills, computer software aptitude and some hotel operation knowledge.
Knowledge of specific hospitality industry applications is desirable (Delphi and SMS preferred).
Must have able to relate to all levels of management.
Must have a minimum of 2 years experience in role of Catering and/or Conference Services Manager preferably in a luxury hotel property.
Must have the ability to handle multiple tasks at one time.
Must have superior organizational skills.
